Circulation Policies

Regular Loans
Reserve Materials
- Reserve materials circulate for a 2-hour loan period.
- Reserve materials on loan cannot leave the library.
- Reserve materials cannot be renewed on-line.
- Personal copies and permanent reserves do not circulate outside the library.
Electronic Course Reserves
- Students must use the username and password assigned by their instructor. The Library staff cannot distribute course passwords due to security purposes.
Reference Books and Journals
- Reference books and print journals do not circulate outside the library.
Holds
- Eligible library users may place a hold on a regular 30-day loan that is checked out by another library user.
- Holds cannot be placed on reserve or reference items.
- Library users will be notified when books placed on hold become available.
- Library users can place holds through their library user account.
- A library user's account may be accessed using the Sign-In function in the Health Sciences Library catalog.
- Patrons may call the Circulation Desk at 444-2512 for library user account assistance.
Fine Policies
Library patrons are responsible for knowing the Library's Fines
Policies. Failure to understand these policies will not excuse you from
payment of late return fines or for billed library material. Please
refer to the Fines and Fees schedule below, or consult with staff for
fine or billing information. All patrons are responsible for late return fees, late recall return fees and billed items.
Overdue Fines
The following fines are applied to overdue library materials:
- Regular Loans: $ 0.25/day max: $15.00
- 2 Hour Reserves: $ 6.00/hour max: $85.00
- 3 Day Loans: $ 2.00/day max: $85.00
Payment Options for Fines and Fees
1. Credit Card:
Pay on-line by logging into your account from the Library homepage. Go to the Library Services section, then click on "Library Account" and sign-in with your NetID. You can
pay for all or selected fees, using a Visa, MasterCard, Discover or
American Express credit/debit card. Don’t forget to Sign-out, after you
have completed your transaction.
2. Pay in Person:
a) The Bursar's Office in the Administration Building. See here
for hours. The Bursar accepts all forms of payment. You can pay by
phone during the Bursar's normal business hours. The number is
631-632-6117.
OR:
b) The Circulation Desk, located
on the 3rd floor of the HSC. Make your
payment in cash during regular business hours. Make your check payable to
“SUNY at Stony Brook.” Include your Solar Number or SBU ID number on the
check or money order to receive proper credit.

What are the consequences of having an unpaid balance?
Students with an outstanding balance of $300.00 on their account for
library fees are not eligible to register at the University. No student
may receive a degree, certificate of completion or transcript until all
charges due to the university or any of its related divisions are paid
in full. Delinquent accounts may be transferred to private collection
agencies and/or the New York State Attorney General's Office for
collection, and are subject to additional interest and/or collection
charges.
Notices
Notices for overdue materials are sent as a courtesy reminder. You
will also be sent notices for fines, bills for lost materials, recalled
items, and available items. Email notices will be sent to your campus
email account, or to your preferred email account (update in SOLAR).
Current address information must be accurate. Failure to receive a notice does not exempt borrowers from overdue fines or other fees. For help

Suspension of Borrowing Privileges
Any of these conditions will restrict you from checking out or renewing library material:
- You are a student, but you have not enrolled yet
- You have fines totaling $5.00 or more
- You are a Special/Courtesy Borrower who has fines totaling $1.00 or more
- You have reached the maximum number of items allowed
- You have reached a renewal limit for an item
- You have one or more overdue recalled items
- You owe money to another SUNY library through the Open Access
Borrowers Program, Interlibrary Loan or through the Research Loan
Program
- Your ID card has expired
- Your address is invalid
Lost Items
An item is considered lost when it is:
- Regular Loans: 35 days late
- 2 Hour Reserves: 10 days late
- 3 Day Loans: 35 days late
- A $10.00 non-refundable "Lost Item Billing Fee" is applied to a library user's account for each item deemed lost.

Library users are responsible for any maximum overdue fines (non-refundable) incurred on the lost item.

Borrowing privileges are suspended with a total accrued fines of $5.00 or more.

Library users will be assessed a Lost Item Charge of $100/ item (or actual replacement cost + $40) which ever is less expensive.

Library users will incur an administrative block for any outstanding library fees, fines or items deemed lost (see: Administrative Blocks).
- Library users may choose to pay the replacement cost of a lost item or replace the lost item with the same or newer edition.

- As a courtesy to our users, notices are sent indicating the due dates of library items currently on loan.
